A timesheet is a document that details the actual hours worked, the number of absences each month, and their reasons for every employee within an organization. This document is used to calculate wages and is required for completion by organizations of all sizes.
Forms T12 and T13 are standardized by Russian Federation legislation for recording working hours. These forms are available for download in electronic format and each has its own method of completion. Form T12 is used for manual recording of work hours, while Form T13 is designed for automatic tracking through devices such as turnstiles or checkpoints.
When recording working hours for filling out electronic forms, the number of appearances and absences for certain reasons is taken into account, which must be commented on. Forms T12 and T13 are almost identical in the composition of the details and are filled out in the following order:
- Indicate the name of the organization at the top
Fill in the document number and date of compilation cells
Specify the dates of the reporting period
Indicate the employee’s serial number in the 1st column, fill out the 2nd and 3rd columns based on information from the employees’ personal cards
Enter the working time cost code in the 4th and 6th columns and information about the number of hours worked for each day of the month
Mark in the 5th and 7th column the intermediate results for each half of the month, respectively, and also write down the number of days worked and the number of hours worked for the accounting period - Enter the total number of days and hours worked in the 14th and 16th columns
Indicate in the 15th column the code of the reason for absence (from the symbols of the time sheet)
Enter in the 17th column the total number of days off and holidays for each employee for the accounting period
This document is signed by the person responsible for filling out the time sheet, the head of the department, the HR employee and the director of the company.
